Job Title: Executive Assistant
Location: San Francisco, CA (Bay Area)
Salary: $130,000 - $145,000
Our client is seeking an exceptional individual to serve as the Executive Assistant to the CEO. This role will involve providing full support to the CEO and assisting with various project management tasks to help the company grow. The ideal candidate should be highly organized, able to multitask, and thrive in a fast-paced work environment.
Key Responsibilities:
- Work with different teams to organize and manage project activities, ensuring timely completion.
- Help create project plans, set deadlines, budgets, and track progress to meet targets.
- Act as a link between project teams and the CEO, ensuring projects align with company goals.
- Prioritize and manage the CEO's daily tasks, keeping a focus on key opportunities and juggling multiple responsibilities.
- Support board meetings by organizing materials, providing updates, and ensuring follow-up actions are completed. Prepare monthly updates for the board based on input from leadership.
- Ensure Executive Team (L-10) meetings are well-organized, prepared, and relevant. Assist in making sure decisions and tasks from these meetings are carried out.
- Spot potential project risks, handle issues, and escalate when necessary to avoid delays.
- Create project reports, documents, and presentations for stakeholders such as board members, investors, and customers.
- Manage communications for projects and facilitate smooth teamwork between internal and external partners.
- Oversee the CEO’s administrative needs, including scheduling, travel, event planning, and expense tracking.
Required Qualifications :
Qualifications:
- Bachelor’s degree in a business-related area.
- PMP certification is a plus but not mandatory.
- 10–15 years of experience as an Executive Assistant.
- 5–7 years of project management experience with proven success in delivering projects.
- Must be available to handle urgent requests outside of normal work hours.
- Strong knowledge of project management methods, tools, and best practices.
- Prior experience as an Executive Assistant or similar role, ideally in a start-up, multinational company, or consulting firm.
- Experience working with senior executives to effectively manage meeting schedules.
- Ability to represent the company well to both internal and external stakeholders. Board meeting experience is a bonus.
- Experience supporting leadership teams across different functions.
- Proficient in Microsoft Office, with strong skills in PowerPoint and project management tools.
